1. Who We Are
Australian Pivot Solutions is an irrigation equipment supplier and service provider operating across Queensland, New South Wales, Victoria, and South Australia. We design, supply, and install irrigation systems for Australian primary producers, including hard hose irrigators and centre pivot and lateral move systems.

- Communications: Records of enquiries, messages, and correspondence with our team by phone, email, or website form
- Server logs: Our web server may automatically record standard technical information such as IP address and browser type as part of normal server operation. We do not actively process or analyse this data for marketing or tracking purposes.
We only collect sensitive information (such as financial history) where it is reasonably necessary for our services and with your consent, or where required or authorised by law.
3. How We Collect Personal Information
We collect personal information in the following ways:
- Contact and quote forms - when you submit an enquiry or request a quote through our website
- Finance pre-qualification wizard - when you complete our step-by-step finance eligibility assessment
- Finance calculator enquiry - when you submit your details alongside a repayment calculation from our finance calculator
- On-site chat assistant (APS Expert) - when you interact with our chatbot and provide your name, email, phone, or message
- Phone and email - when you contact us directly
- From third parties - from our finance partner, Electric Loans Australia, where you have consented to the sharing of your information for finance assessment purposes
Where practicable, we collect personal information directly from you. If we collect information about you from a third party, we will take reasonable steps to notify you.
4. Why We Collect and Use Your Information
We collect and use personal information for purposes including:
- Responding to product and service enquiries
- Providing quotes for irrigation equipment and installation
- Processing finance pre-qualification applications and referring eligible applicants to our finance partner, Electric Loans Australia
- Delivering and installing irrigation systems and associated equipment
- Providing after-sales support and warranty services

- Finance partner - Electric Loans Australia: When you submit a finance pre-qualification or calculator enquiry and consent to your information being shared for assessment purposes. Electric Loans Australia holds its own Australian Credit Licence and is bound by its own privacy obligations.
- Email delivery provider — Resend: Lead notifications and confirmation emails are sent via Resend, a third-party email delivery service. Resend processes email content and recipient details on our behalf.
- CRM platform — Ambition: Lead and enquiry details (name, email, phone, and enquiry context) are synced to our customer relationship management system for follow-up and record-keeping purposes.
- Equipment manufacturers and suppliers: Where necessary to fulfil product orders, warranty claims, or technical support (e.g. IRTEC, Southern Cross, Truflo, Grundfos).
- Legal and regulatory authorities: Where required or authorised by law, court order, or to protect the rights, property, or safety of Australian Pivot Solutions, our customers, or others.
We do not sell, rent, or trade your personal information to third parties for marketing purposes.
Overseas Disclosure
Our email delivery provider (Resend), AI provider (Anthropic), CRM platform (Ambition), and website hosting infrastructure may process data on servers located outside Australia. Where personal information is disclosed overseas, we take reasonable steps to ensure the recipient handles it consistently with the Australian Privacy Principles, in accordance with APP 8 and the international transfer provisions of the Privacy and Other Legislation Amendment Act 2024.
6. How We Store Personal Information
Enquiry submissions, lead data, and finance pre-qualification responses collected through our website are stored in the following ways:
- Email notifications: Sent to our team via Resend each time a form is submitted
- Local server records: Submissions are also saved to structured files on our web server (in JSON and CSV format) as a backup record for internal use. These files are accessible only to authorised personnel and are not publicly accessible.
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure (APP 11). Security measures include:
- Encrypted data transmission via HTTPS/TLS
- Access controls limiting personal information to staff who need it to perform their role
- Regular review of our data handling practices
We retain personal information for as long as necessary to fulfil the purposes for which it was collected, or as required by law. When no longer needed, we take reasonable steps to destroy or de-identify it.
In the event of an eligible data breach likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) in accordance with the Notifiable Data Breaches (NDB) scheme.

10. Finance Data Collection
Finance Pre-Qualification Wizard
Our finance pre-qualification wizard collects personal and financial information to assess your initial eligibility for equipment finance through Electric Loans Australia. By completing the wizard, you consent to:
- Collection and processing of your information for initial screening purposes
- Your information being shared with Electric Loans Australia for finance assessment
- Australian Pivot Solutions and Electric Loans Australia contacting you about your enquiry
Pre-qualification does not constitute a credit assessment or finance approval. Formal credit assessment is conducted by Electric Loans Australia under their own privacy policy and obligations under the National Consumer Credit Protection Act 2009 (Cth).
Finance Calculator Enquiry
When you submit an enquiry from our finance repayment calculator, we collect your name, email, phone number, business details, and the calculator parameters you entered (loan amount, term, rate, and frequency). This information is used to follow up with a tailored finance quote and is shared with Electric Loans Australia where you consent to this.
11. On-Site Chat Assistant (APS Expert)
Our website includes a chat assistant called APS Expert. If you provide your name, email address, phone number, or message content through the chat interface, this information is submitted to our contact system and handled in the same way as other enquiry form submissions — stored in our internal records and used to respond to your enquiry.
The chat assistant uses artificial intelligence (AI) to generate responses to your questions. When you type a message, your input and recent conversation context are sent to Anthropic (our AI provider) for processing. Anthropic processes the message content solely to generate a response and does not use your data for model training. No personal identification details are sent unless you include them in your message. For more information, refer to Anthropic's Privacy Policy.
If the AI service is unavailable, the assistant falls back to keyword matching against our product and service content without sending data to any external platform.
12. Links to Third-Party Websites
Our website may contain links to third-party websites, including manufacturer partners (IRTEC, Southern Cross, Truflo, Grundfos) and our finance partner (Electric Loans Australia). These websites operate under their own privacy policies. We are not responsible for their practices and encourage you to review their policies directly.
